The Action Priority Worksheet (Advanced) is a strategic planning and decision-making tool designed for individuals who are managing multiple projects, responsibilities, goals, or business initiatives simultaneously. Rather than simply identifying what is important, this worksheet helps you determine what deserves your attention first by evaluating each action according to its strategic value, expected impact, required effort, and overall importance to your objectives.

How It Works

Unlike the Beginner version, which introduces the concept of prioritization through the classic Impact vs. Effort matrix, the Advanced worksheet provides a comprehensive action management system that allows you to organize and rank every initiative you are tracking. This advanced version was intentionally designed to move beyond a visual quadrant and give users a practical tool for managing real-world priorities.

For every action item, you enter:

  • Parent Category – The broader area of life or work (Business, Ministry, Health, Family, Finances, Personal Growth, etc.).
  • Subcategory – A custom grouping within the parent category.
  • Brief Description – A concise explanation of the task or project.
  • Current Status – The stage of progress for the action item.
  • Relationship Rating (1–5) – How strongly this task supports your larger goals, mission, or strategic priorities.
  • Impact Rating (1–5) – The positive results you expect if the task is completed successfully.
  • Effort Rating (5–1) – The amount of work required. This scale is intentionally inverted so that easier tasks receive higher values while more demanding tasks receive lower values.
  • Notes – Additional observations, deadlines, dependencies, or reminders.

Automatic Priority Scoring

Once the Relationship, Impact, and Effort ratings have been entered, the worksheet automatically calculates a Priority Score using the following formula:

Priority Score = (Relationship × Impact) ÷ Effort

This calculation rewards action items that:

  • strongly support your goals,
  • create significant impact,
  • and can be completed with relatively less effort.

Conversely, tasks with minimal strategic value, limited impact, or excessive effort naturally receive lower priority scores, allowing you to focus on the opportunities that provide the greatest return on your investment of time and energy. The Priority Score is calculated automatically, removing much of the guesswork from prioritization.


Active and Completed Tracking

The worksheet includes two separate workspaces:

Active Tracker

This is your primary workspace where you maintain all ongoing projects and action items. As priorities change, you can update ratings, revise statuses, and reorder tasks accordingly.

Completed Tracker

Finished projects can be moved into the Completed section, allowing you to maintain a clean, focused list of active priorities while preserving a historical record of what has already been accomplished.


Sort by Priority

As new projects are added, the worksheet can automatically sort your active tasks from highest to lowest Priority Score.

This feature allows you to instantly identify:

  • the initiatives that deserve immediate attention,
  • projects that may require additional planning,
  • lower-priority tasks that can wait,
  • and activities that may no longer justify the time investment.
